Core Volunteer Jobs

Core volunteer positions fulfill your entire volunteer requirement for the entire season (4 meet volunteer and 2 social job requirements).

RIBBONS COORDINATOR: Samantha Nehrbas and Ciara Kappler                                                                   

  • Collaborate with your partner Ribbons Coordinator to evenly split duties so that all swim meets are covered.
  • At home meets, provide guidance to visiting team Ribbon Volunteers at start of meet. Label ribbons using labels printed by Data Entry Volunteer. Keep ribbons organized during and after meet. File ribbons into family folders by the end of the week.
  • At away meets, collect Stingray ribbons at end of meet and file into family folders in a timely manner. Act as point of contact for host team Meet Directors if ribbons are needed to be picked up after swim meet is over.
  • Maintain and update folder in Google Drive for this coordinator position.

  • Inventory ribbons and labels at end of season (by end of August) and update spreadsheet with inventory. (Meet Director/President will order based on future schedule).

INVITATIONAL COORDINATOR: Jennifer Smith, reports to President           

  • Promote invitational meets through emails, website, flyers in Family Folders
  • Create swimmer sign-up forms and post on website. 
  • Collect forms and fees from each participating family, verify payments received and give any checks to the Treasurer.
  • Be a contact person for the invitational meets.
  • Serve as volunteer coordinator for the invitational meets. Coordinate and supervise volunteers during all events.
  • Maintain and update binder and Google Drive folder for this coordinator position.

HEAD SET-UP & TAKE-DOWN COORDINATOR: Araseli Diaz-Mendoza & Ezekiel Mendoza                                            

  • Meet with President and Meet Director before season starts to finalize details for home meets.
  • Organize and arrange storage shed and closet.
  • Validate Set-Up & Take-Down Volunteers signed up for each event. See Volunteer Coordinator for the list of names.
  • Coordinate set-up and take-down for all home meets: computer cables, timing area, tents, tables, cones, concession stand, chairs, ribbons & labels to computer table, etc. Train and direct Set-Up & Take-Down Volunteers.
  • Please direct questions & all budget requests (in advance) to the Meet Director (board member).  

STARTER: Janis Yee and Pete Leist (back up)                                                                                         

  • Start all races at Time Trials & all home meets. Fun job! Watch the entire meet!
  • Operate the starter and announce the event & heat into the microphone before each start.
  • Remain aware of swimmer status in each lane and coordinate with officials when there is clearance to start each event.
  • Make adjustments to volume and/or orientation of loud speaker as needed so that announcements are clearly audible.
  • Keep an eye on the time to keep meet moving at a reasonable pace to finish within the contracted time period for the pool. 
  • Must be present the entirely of every home meet including Time Trials.

ANNOUNCER: Marissa Thomas                                                                                  

  • Make announcements over loud speaker for each heat/event. Fun job! Watch the entire meet!
  • Announce information regarding snack bar, sponsors and other meet related info as directed.
  • Work the entirety of all home meets, Lap-apalooza, Family Fun Night, etc (requires no away meet duties).  
  • Pay attention to Starter status so the volume of the P.A. system does not compete with Starter announcements and/or start signal.
  • Create excitement during close races and during slow finishes so the crowd stays engaged and positive.
  • Select and play fun music throughout the day.

DATA ENTRY: Kimberly Tacdol                                                                    

  • Receive training on Data Entry position from the Meet Director.
  • Performs duties at Time Trials & all home meets. Must be present throughout the duration of the meet.
  • Retrieve electronic times for each individual in each race using Meet Manager software on meet laptop. 
  • When necessary, manually enter swimmer details and times when advised by the Timing System Operator. Additionally, times may need to be retrieved from the Lane Recorder sheets.
  • Receive Lane Recorder sheets from the Paper Runners then organize on clip board for later reference by coaches.
  • Receive DQ slips from Head S&T after they have reviewed them for accuracy. Then check DQ box on swimmer's results in Meet Manager.
  • After processing DQ slips, secure them to appropriate team clip board.
  • After all heat results are posted for each event, and DQs are entered, verify the Meet Manager identified place winners.
  • Print ribbon labels accordingly, while tracking in Meet Manager or on the timer copy of master meet program that each event has been successfully printed.
  • Manage printer as needed to ensure all labels are printed correctly. Let Meet Director know if printer supplies are low or device needs to be trouble shot.

  • Maintain a master copy of the printed meet program with race number and any changes to the entries. This copy sits between you and the Timing System Operator so you can handwrite any updates throughout the meet. This becomes the coaches master reference for the meet results.

TIMING SYSTEM OPERATOR: Meg Shaw                   

  • Receive training from Meet Director on how to operate the timing system tablet and process for staying on top of meet execution.
  • Performs duties at Time Trials & all home meets. Must be present throughout the duration of the meet.
  • Requires constant attention on the progress of the meet, making sure the timing tablet is set to the correct event and heat currently in the pool. Stay synchronized with the Starter on events and heats in real time.
  • Manage the swimmer lane assignments in the timing system (tablet), including "no shows" and "late adds." Adjust lane assignments as needed (when swimmers enter pool in the wrong heat or lane).
  • Work in tandem with Data Entry person to synchronize data between laptop and timing system tablet if discrepancies occur.
  • Maintain a timer copy of the printed master meet program with race numbers and any changes to the entries. This copy sits between you and the Data Entry person so you can handwrite any updates throughout the meet. This becomes the coach's master reference for the meet.
  • Ensure combined events are properly noted with correct "race #" in the timing system tablet and on the timer copy of the master meet program.

HEAD STROKE & TURN JUDGES: John Freytag and Gabe Salindong                                                                 

  • Only a parent who’s been a Stroke & Turn Judge before can take this position.
  • Make sure new judges attend training session before swim meet season starts.  After training session, arrange meeting with all judges, Meet Director, and Head Coach to discuss forms, etc.
  • Get available dates from judges and create schedule for all home and away meets (including Time Trials).  Find replacements on schedule when needed. Give final unit tally (6 points per meet) to the Volunteer Coordinator board member.
  • Volunteer as a judge at first 2 meets to get everything running smoothly.
  • Make sure all judges are in place at beginning of each meet. Work with new judges as needed.
  • Maintain and update binder for this coordinator position

STROKE & TURN JUDGES (report to Head S&T Judge, 10 total positions):  David Patten, Cian Riddle, Mike Bastien, Jon Hedberg, Lindsay Neuner, Ayna Blankenship, Meg Thomason, Sean Treat, Fernando Recoder

  • Watch swimmers in competition to ensure proper techniques. When infractions are noted, S&T Judge has authority to disqualify a swimmer for that event.
  • Judges should have prior swim meet experience (either themselves or through experience on swim team as a parent)
  • Meet with Head Judge(s) to determine your schedule of judging shifts for the season.
  • 2-hour training in April required for new judges

SNACK SHACK COORDINATOR: Justin Magno

  • Must attend Time Trials, all Home Meets, and 2 practices per week
  • Maintain inventory and order items as needed to stock the snack shack
  • Oversee snack shack at 2 practices per week (dates are flexible)
  • Oversee volunteer workers at the snack shack during home meets
  • Transport and store leftover food items to and from pool between meets

TEAM PHOTOGRAPHER: Ellen Hall 

  • Possess a good camera with zoom lens
  • Attend the majority of meets and social events to obtain photographs
  • Assemble a slide show for the end of season awards ceremony

PR AND GRAPHICS DIRECTOR: Brieanne Marshall

  • Work closely with the communication director to advertise meets, deadlines, and events on instagram and facebook 
  • Help design and organize spirit wear sales
  • Be available on short notice to design flyers for communication and advertising needs

SHEPHERDS

  • Help gather 6/under and 7/8 swimmers prior to their events at meets
  • Maintain the swimmers in an orderly fashion as they prepare for their events at meets
  • Help guide the swimmers to the appropriate junior coaches for their lane assignments and event starts at meets
